How to create instructions, groups of instructions and associate them with products to be refitted

Between 2 rentals or between the take-back and resale of a second-hand product, products follow the refit step. It consists of a series of instructions specially designed for each product.

Here's how to create these instructions and how to assign them to a given product.

Data structure for product refit


The structure for handling instructions is fixed:

  • Category (ex: Quality control, Cleaning, Drying etc.) >
    • Sub-category (ex: Visual inspection) >
      • Instructions (ex: check the appearance of the fabric or check that there is no lost object in the product).

There cannot be an instruction directly in a Category, it is necessarily in a sub-category.


Instructions are then linked to groups of instructions. Each group of instructions will be applied to one or more products to be refurbished. For example, we will group together all steps to refit camping tents, which we will then assign to the tents.


As a reminder, only certain roles are authorized to create refit instructions (Warehouse Manager on the warehouse side and InStore Manager on the store side). Learn more


Create a category and a subcategory

In the RMS:

  • Refit section > Instruction categories > Click on "+ New category" at the top right > Give a name to this category
  • Once in a category, it is possible to create a subcategory by following the same process ("+ New subcategory" etc.)


Create an instruction

  • Inside a sub-category, you can create an instruction by clicking on "+ New instruction" at the top right.
  • Complete the entire form to create the instruction:
    • Title and Description
    • Visuals: possibility to load images, pdf, videos
    • Type of instruction: "Operator" if the operator must intervene throughout the execution of the instruction or "Autonomous" if the task is carried out without his intervention (for example, a washing cycle in the machine or drying)
    • Multiple (displayed if "Autonomous" option is previously checked): if you can carry out this instruction on several products at once, you check it (e.g. cycle in washing machine)
    • Mandatory: can we skip this step?
    • Scan + Button: you can scan the PUID of the product to go to the next step OR you can click on a button / Scan only: the button will not be available, the product must be accessible (not in the washing machine by ex.)
    • Estimated execution time: indicative, it is used to see how long the overall process will last.
       A reminder of the name of the client, the category and the subcategory to which this instruction belongs is at the bottom of the window.


Modify an instruction

  • Navigate to the instruction by opening its category and subcategory
  • Hover the mouse over the 3 dots to the right of the instruction, then over the pencil to modify
  • You can also duplicate, delete the instruction or just view it.


Create a group of instructions and associate instructions with it

  • RMS > Refit > Instruction Groups > "+ New Group" > Add a Group Name and a Description (e.g. linen dress)
  • Open the newly created group by clicking on it then "+ New instruction" then search for the first instruction in the instruction catalog
  • Repeat the operation for each instruction of the process for this group
  • To change the instructions order in a process, simply drag and drop the instruction up or down to put it in its new location. (visible at 4:45 in the video below)
  • To remove an instruction from the refit process of a product, hover the mouse over the 3 dots and click on the crossed out chain


Associate products with instruction groups

  • RMS > Refit > Instructions Groups > Unlinked Products tab: all products of a brand are in this list initially.
  • Select all products that will be associated with the same group of instructions, for example all non-electric bicycles, which will have to follow the same process.
  • Click on "Link products" and find the group of instructions to apply in the list.
  • Back in the Instructions group tab, by selecting a group, we therefore find in the Instructions tab all the instructions that have been chosen for this group and in the Linked Products tab all the products which follow this process, with their EANs.
